The short version
We collect only what we need to serve you, we never sell your data, and we protect your financial information like it's our own. This policy explains our practices in plain language, in line with Kenya's Data Protection Act, 2019.
What we collect
- Contact details — name, email, phone number — when you book a consultation, message us on WhatsApp, or use our forms.
- Business information — company name, industry, and the details you share so we can recommend the right package.
- Financial records— only when you become a client and grant us access to your accounting data to deliver the services you've engaged us for.
- Website usage — basic analytics about how the site is used, only with your consent via the cookie banner.
How we use it
- To deliver bookkeeping, QuickBooks, and advisory services.
- To respond to your enquiries and consultation requests.
- To improve our website and services.
- To send service updates you've opted into — you can unsubscribe at any time.
We do not sell your personal data, and we do not share it with third parties except the service providers we need to operate (e.g., QuickBooks/Intuit, payment processors), each bound by their own data protection obligations.
Where the AI chat assistant fits in
Messages you type into our website chat assistant are processed by an AI service to generate responses. Don't share sensitive financial or personal details in chat — for anything specific, we'll move you to WhatsApp or a private consultation.
Your rights
Under the Data Protection Act, 2019, you have the right to be told how your data is used, to access it, to correct it, to delete it, and to object to or restrict its processing. To exercise any of these rights, email clientservices@datatodecisionskenya.com and we'll respond within 14 days.
How long we keep data
We keep client records for as long as we provide services to you, plus any period required by Kenyan tax law (typically 5 years for financial records). Enquiry data from non-clients is deleted within 24 months.
